HOAM App, LLC dba Anthoam ("Anthoam," "we," "us," or "our") provides a self-service software platform for homeowners associations, property managers, board members, residents, and vendors. We charge subscription fees for access to the platform and process dues payments on behalf of communities through Stripe Connect. This policy explains when subscription fees and dues payments may be cancelled or refunded, how processing fees are handled, and how payment disputes (chargebacks) are resolved. It supplements our Terms of Service and is incorporated into them by reference.
New Anthoam subscriptions are billed immediately when you add a payment method and subscribe. If Anthoam is not the right fit, you may cancel within 30 days of your first charge for a full refund of that charge — cancel from Settings > Billing or email support@anthoam.com. After the 30-day window, the current term is non-refundable but you may still cancel and keep access until the end of the billing period. If you simply need a break, you can also pause your subscription instead of canceling — see Section 3.
Some customers — for example beta-program participants — may instead be offered a free trial as disclosed at sign-up. In that case no charge is made until the trial ends, and you may cancel any time before then with no charge. Trial eligibility, length, and features are determined at the time of sign-up and may change without notice for new customers.
Pause instead of cancel. If you need a break, you can pause your Anthoam subscription instead of canceling, from Settings > Billing. While your subscription is paused, billing stops and your community's data and settings are preserved so you can pick up exactly where you left off when you resume.
Canceling. You may cancel your Anthoam subscription at any time from Settings > Billing inside the platform, or by emailing support@anthoam.com. When you start a cancellation we may present a one-time save offer (for example, a limited number of free months) and ask you to complete a brief exit survey; accepting the offer is entirely optional. Cancellation takes effect at the end of the current billing period — your community retains access to paid features until that date, and no further charges are made after cancellation processes successfully.
If you cancel mid-cycle, the remainder of the current billing period is not refunded by default. We do not pro-rate partial months.
What happens to your data after cancellation. After your subscription is canceled, we retain your community's data and uploaded files for 90 days. During this window you can reactivate your community to restore full access, or export your data at any time. At the end of the 90-day window, your community's data and uploaded files are permanently deleted and cannot be recovered, except where longer retention is required by law. This schedule is described in our Privacy Policy.
Anthoam subscription fees are generally non-refundable. We will, however, consider a refund of the most recent subscription charge in the following limited circumstances:
To request a refund, email support@anthoam.com within 30 days of the charge with the invoice ID and the reason for the request. Approved refunds are issued back to the original payment method, typically within 5–10 business days after approval.
Anthoam processes resident dues, special assessments, fines, resale-packet fees, and other community-billed amounts on behalf of your HOA — but Anthoam is not the merchant of record for those payments and is not the party that decides whether a particular dues payment should be refunded. Refund eligibility for dues and other community-collected amounts is determined solely by the community (the HOA, its board, and its property manager) in accordance with the community's governing documents and applicable law.
When a community authorizes a refund, Anthoam will process it through Stripe back to the resident's original payment method. Typical timing:
If you are a resident requesting a refund of dues or another community charge, please contact your property manager or HOA board first. They can authorize the refund inside the platform. If you cannot reach them, you may email support@anthoam.com and we will help route the request, but the final decision rests with the community.
Payments processed through the platform incur (i) Stripe's payment-processing fees and (ii) the Anthoam Payments Processing Fee described in Section 6 of our Terms of Service. When a dues payment is fully refunded, Stripe's processing fees are not returned to the merchant by Stripe, and the Anthoam Payments Processing Fee is similarly not refunded by default. The community may choose, at its discretion, to absorb or pass along any non-refundable processing fees as part of the refund it issues to the resident.
A "dispute" or "chargeback" occurs when a payer asks their bank or card network to reverse a charge. Stripe notifies Anthoam when a dispute is opened against a payment processed through the platform. Before initiating a chargeback, we strongly encourage payers to contact their property manager, HOA board, or support@anthoam.com first — most payment issues can be resolved much faster through a refund or correction than through a chargeback. Anthoam is the platform of record on Stripe Connect and may pause payouts, restrict card payments, or withhold funds at a community when chargeback or fraud activity exceeds risk thresholds; see Section 6a of our Terms of Service (Stripe Connect Platform Responsibilities) for the full scope.
When a dispute is opened, our standard handling timeline is:
Card networks may charge a non-refundable dispute fee (commonly $15 USD per dispute) regardless of the outcome. Where the dispute relates to a community-collected charge, that fee is generally passed through to the community.
If you believe a charge on your account is fraudulent or unauthorized, contact us immediately at support@anthoam.com. We will work with you and Stripe to investigate, refund where appropriate, and secure the affected account.
We may update this policy from time to time. The "Last Updated" date above reflects the most recent version. Material changes will be communicated via email and/or in-app notice. Continued use of the platform after a change constitutes acceptance of the updated policy.
